General Information

These Consultation Booking Terms apply to consultation requests and related design services offered by Studio 23 Prints.

Our services include custom poster design, artistic print design and contemporary wall art design. A consultation gives us the opportunity to understand your requirements, discuss creative preferences and establish the scope of a proposed project.

Please read these terms before submitting a booking request. By requesting or confirming a consultation, you agree to the arrangements set out below.

02

Booking Requirements

All consultations must be requested at least 1 full day before the proposed appointment date.

Same-day consultation bookings are not available. Requests submitted on the intended appointment date cannot be accepted for that day.

This notice period allows us enough time to review your enquiry, understand the project requirements and arrange a suitable consultation.

  • Bookings must be submitted at least 24 hours before the requested appointment time and on the previous calendar day or earlier.
  • Same-day requests will need to be moved to a later available date.
  • All appointment times are subject to availability and confirmation.
  • Submitting a request does not automatically reserve an appointment.

If your preferred time is unavailable, we will contact you to discuss another suitable appointment.

03

Booking Confirmation

Once we receive your request, we will review the information and contact you using the email address or telephone number provided.

A booking is only confirmed when we have agreed on the consultation date, time, service requirements and any applicable payment arrangements with you in writing.

Please check your confirmation carefully. If any details are incorrect, let us know within 24 hours of receiving it so that we can review the arrangements before the consultation takes place.

If you do not receive a confirmation, please contact us before assuming that your appointment has been arranged.

04

Consultation Details

Consultations are intended to help us understand the design work you have in mind and decide how best to approach it.

Depending on your requirements, discussions may cover:

  • The intended use of the poster or artwork.
  • Preferred themes, colours, styles and visual references.
  • Approximate dimensions and display format.
  • Required file formats and digital delivery preferences.
  • Project scope, estimated costs and expected completion arrangements.

A consultation does not automatically include the production of finished artwork. Any design work, revisions and deliverables will be agreed separately as part of the service arrangement.

05

Pricing and Payment Arrangements

Prices displayed on our website are starting prices for the relevant design services. The final cost depends on the project requirements, artwork complexity, requested specifications and any additional work agreed with you.

Payment arrangements are confirmed after the service requirements have been reviewed.

Studio 23 Prints does not require customers to complete an online payment simply to submit a consultation enquiry. After reviewing the project details, customers will receive the relevant quotation, payment information and booking arrangements through our official communication channels.

Available payment methods may vary depending on the agreed service arrangement. Any applicable payment amount, due date and payment instructions will be provided before the relevant work begins.

Where an advance payment is agreed, work will begin after the agreed payment has been received and the project details have been confirmed.

Any additional work outside the original agreed scope will be discussed and quoted separately. We will obtain your approval before proceeding with additional chargeable work.

06

Changes and Rescheduling

We understand that plans can change. If you need to move your consultation, please contact us as early as possible.

  • Requests to reschedule should be made at least 24 hours before the confirmed consultation time.
  • Rescheduling is subject to the availability of another suitable appointment.
  • Please provide your original booking details and preferred alternative date when contacting us.
  • Any agreed changes will be confirmed through email or another official communication channel.

Where less than 24 hours’ notice is provided, we will review the circumstances and let you know whether a revised appointment can be arranged.

An alternative appointment is not confirmed until we have agreed on the new date and time with you.

07

Cancellations and Refunds

If you no longer wish to proceed with a consultation or design project, please contact us by email and include your booking reference and the reason for cancellation.

The following arrangements apply to cancellation requests:

  • At least 3 calendar days before: Where payment has already been received, eligible amounts will be refunded in full for work not yet started, subject to applicable statutory rights.
  • 1 to 2 calendar days before: We will review any work already completed and any costs reasonably incurred, then confirm the applicable refund amount.
  • Less than 24 hours before: Refund arrangements will take account of the work already carried out and any applicable legal rights.

If we cancel a confirmed consultation and cannot offer a suitable alternative, any payment received for the unprovided consultation or work will be refunded.

Approved refunds will normally be issued to the original payment method within 14 calendar days after confirmation of the refund. The time taken for the funds to appear may depend on the payment provider or financial institution.

Nothing in these terms affects any cancellation or refund rights that apply under UK consumer law.

08

Customer Responsibilities

To help us provide a smooth and useful consultation, please make sure the information you provide is accurate and relevant to the project.

  • Provide a working email address and contact telephone number.
  • Explain your design requirements as clearly as possible.
  • Provide reference images or materials where they are relevant to the project.
  • Make sure you have permission to use any images, text or other materials supplied to us.
  • Review proposed design details and provide feedback within the agreed project timeframe.

If important information is missing or project requirements change significantly, the completion schedule and final quotation may need to be reviewed.

09

Design Work and Digital Delivery

Design services are carried out according to the requirements agreed with the customer before work begins.

Depending on the selected service, final deliverables may include high-resolution digital artwork in JPEG or PNG format. The agreed file format, design specifications and delivery arrangements will be confirmed as part of the project details.

Unless otherwise agreed, completed digital files will be sent electronically to the email address supplied by the customer.

Standard revision allowances are as follows:

  • Custom Poster Design: One reasonable revision round.
  • Artistic Print Design: One reasonable revision round.
  • Contemporary Wall Art Design: Two reasonable revision rounds.

A revision should relate to the original approved design brief. Significant changes to the subject, creative direction or project scope may be treated as additional work and quoted separately.

Customers should review delivered files within 7 calendar days of receipt and contact us if an agreed specification has not been met. We will review the matter and arrange any necessary correction in line with the original agreement.

10

Intellectual Property and Supplied Materials

Customers are responsible for ensuring that any photographs, logos, text, illustrations or reference materials they provide may lawfully be used for the requested project.

Unless otherwise agreed in writing, ownership of original design work and the permitted use of final artwork will be set out in the relevant project agreement.

Customers must not assume that receiving a digital file automatically transfers all intellectual property rights or grants unrestricted commercial usage. Any applicable usage permissions should be confirmed before the work is commissioned.

We will not knowingly incorporate materials supplied by customers where their intended use would infringe another party’s rights.

11

Limitations and Liability

We take reasonable care when discussing requirements, preparing artwork and delivering agreed files. However, customers should review their project specifications carefully before approving a design.

We are not responsible for issues caused by inaccurate information, incorrect dimensions or unsuitable reference materials supplied by the customer, provided we have followed the agreed instructions with reasonable care.

Digital artwork may appear slightly different across screens, devices and display settings. Printed results may also vary depending on the printer, paper, ink, colour settings and production process used by the customer or their chosen print provider.

We cannot guarantee identical colour reproduction across all screens or printing equipment. Customers should check file specifications and printing requirements with their chosen printer before placing a print order.

To the extent permitted by applicable law, we are not liable for indirect or consequential losses arising from circumstances outside our reasonable control.

Nothing in these terms excludes or limits liability where such exclusion or limitation is not permitted by law, including liability for fraud, fraudulent misrepresentation or any other liability that cannot legally be excluded.

Nothing in these terms affects your statutory rights as a consumer.

12

Circumstances Beyond Our Control

Occasionally, circumstances outside our reasonable control may affect a consultation or project schedule. These may include unexpected technical interruptions, service provider outages, serious operational disruption or other unforeseen events.

If something affects an agreed appointment or delivery schedule, we will contact you as soon as reasonably possible and explain the available arrangements.

Where appropriate, we will work with you to arrange a revised consultation date or an alternative delivery schedule.

We will take reasonable steps to reduce disruption and fulfil our agreed responsibilities. Any applicable consumer rights and refund obligations will continue to apply.

13
